Instructions For New Clients

Call our office to make an appointment — If you were referred to KoolTax, don't forget to tell us who referred you.

At your appointment, please have the following items with you. If you are not in the Denver Metro Area, or are unable to come in personally, you may still mail, fax, or e–mail, the documents to us so we may prepare your return.

  • W-2s, 1099s, & 1098s
  • Charitable donation receipts
  • Business receipts or a summary of income and expenses
  • Stock sales with basis
  • Rental income and expenses
  • A complete, signed copy of the IRS E–file Signature Authorization
  • A copy of a valid ID, such as a Driver's License or Social Security card

We'll input your information into our database immediately. If you wish, you can begin referring other people. In January, you'll receive various tax forms (W2, 1099, 1098, etc.) from the employers or institutions that paid or received money during the year. As soon as you have received them all, please send us:

  • A copy of the tax forms
  • Additional end–of–year information, such as itemized or self–employed, capital gains, alimony, moving, and educational expenses, IRA contributions, etc.
  • A voided check, for receiving your refund by Direct Deposit, or paying additional tax due by Direct Debit.

Finalizing Your Return

Shortly after we receive your documents, we will finalize your return and call you for a short telephone interview and appointment. We'll verify the information with you, and summarize your return. We'll then make arrangements for payment of any refund, or additional taxes due, and preparer fees.

We can electronically file the return for you immediately (recommended), or return it to you to sign and file personally.

You may want to file an Extension of Time to File. In either case, we send you a final copy for your records. In most cases, you can choose to receive a refund by Direct Deposit (recommended), or by check.

Payment Options

If you owe additional taxes, you can choose to pay by Direct Debit (recommended), or by check or credit card. You can file anytime between January 20 and April 15, and still wait to send your payment to the IRS on April 15.

Our fees can be paid by cash or credit card, using PayPal or Square.
